📌 Objective

To build a project-based budgeting system that simplifies reporting, ensures compliance, and empowers committees with clear financial boundaries.

A dynamic Google Sheet that:

  • Tracks budget vs actuals in real time
  • Generates an income statements and balance sheets automatically
  • Organizes data with structured categories and descriptions
  • Keeps information exportable for tax and designation purposes

⚙️ How It Works

The system is designed around project-level budgeting:

  1. Set Project Budget Allocations and Operational Expenses

    • Start the year by assigning budgets to specific projects, and operational expense categories (e.g., fundraising, administration, membership development).
    • These allocations define the financial “envelopes” for each area of activity.
  2. Record and Income Sources

    • If you raised capital, received grant funding, collected dues or received donations, these are entered into the income section.
    • All incoming funds are categorized to align with their intended purpose or project.
  3. Enter Transactions as They Happen

    • Expenses and additional income are entered through a simple transaction log.
    • Each transaction is tied to a project or operational category.
    • Use Gemini AI to extract data from statements or exports.
  4. Automatic Budget and Statement Updates

    • The transaction log dynamically updates:
      • Project budget balances
      • Total operational expenses
      • Income statement and balance sheet views
  5. Transparency by Design

    • Because everything is tied back to projects and categories, anyone reviewing the sheet can see exactly how funds were allocated and spent.
    • This reduces ambiguity, simplifies reporting, and builds trust.
